World Vision in Cambodia is a non-profit, non-denominational humanitarian aid and development organization dedicated to helping children and their communities worldwide reach their full potential by tackling the causes of poverty. Since, your company has invited to participate in and submit a Request for Quotation (RFQ) response to Car Rental Service sourcing. Moreover, World Vision International in Cambodia (WVI-C) has budget to cover this service US$ 30,000 per year. World Vision International in Cambodia (WVI-C) is inviting potential suppliers, which are all strong and highly regarded.

General Functional Requirement of Service Provider 

All the service, work schedule, and deliver service to each WVI office in Quotation submitted by the Service Provider during the proposal selection, shall be implemented and effective from this commence date of agreement with:

  • Have insurance Third Party liability (TPL)
  • Firefighting equipment
  • Has document follow Cambodia Traffic law for both Vehicle and Driver
  • Fuel: Only gasoline /Diesel
  • Year of vehicle at least from 2000
  • WVI will not cover any expense of driver and vehicle such as; fuel, accommodation, food, parking, …

Type of car: Model of vehicle; Lexus, Mazda, Ford, Highlander, Land Cruiser, Camry, H1, HiAce, … 

Delivery lead time: Provide clearly of date that service provider spend time to transport items/materials will arrive WVI’s office

Pickup and travelling timeframe: Working hour 7am to 7pm

Submission Requirements

Terms and conditions for ‘supply and delivery:

  1. Quotation should be submitted by 14 February 2025 at 5:00PM. Quotation received after the specified deadline will not be considered.
  2. Quoted rate should include Tax and other applicable taxes & charges if applicable in remarks
  3. Payment will be made within 30 days after receiving goods and undisputable invoice.
  4. If you have any objection or expectation in payment terms, please clarify.
  5. The contract will be awarded as per WVC’s bid evaluation criteria
  6. WVIN reserves the right to reject any or all quotation. The successful bidder or bidders will be notified at the earliest date possible.
  7. Payment will be made via online bank transfer and TDS will be deducted at source as per Cambodia Government rules and regulation.
  8. Supplier declare the consent and provide these documents along with RFQ
  9. a certified copy of a certificate of business registration,
  10. certificate of incorporation, business license or similar document
  11. a certified copy of tax registration, tax clearance certificates or similar documents
  12. information on ownership structure (Name of directors of the company / Owner)
  13. last two years of audited financial statements or tax filing, or similar documents
  14. Must be cleared of legal disputes that ended in Court in the past three years.
  15. Sign Conflict of Interest disclosure showing any relationship with WV staff.
  16. Sign Supplier Code of Conduct
  17. Sign Behavior protocol for partner
  18. Sign Anti-Corruption Policy
  19. Fill in and sign Supplier Registration Form
  20. Any contract resulting from this Request for quotation shall be governed by and interpreted in accordance with the laws of Cambodia.

Sealed envelopes containing the quotes signed by the authorized persons, envelope should be clearly marked “RFQ Car Rental Service” addressed to the SCM Department, at National Office should be delivered at the aforesaid address on or before 05.00 PM of 14 February 2025.

The contract will be one-year term based on the price offering. This service is provided to World Vision National Office.
