Job Purpose: To assist Purchasing Manager in daily operation and procurement requirement. Takes over the function of the Purchasing Manager during his/her leave of absence and must work and liaise closely with the various operating departments to know and evaluate their Purchasing needs and requirements.

REPORTING RELATIONSHIP

Purchase Officer will directly report to Purchasing Manager.

Duties
  • KEY RESULT AREAS
  • Assist Purchasing Manager on source, review, and recommend the hotel supplies.
  • Process document and file all the Purchase Request (PR) and Purchase Order (PO) and update in MC system.
  • Purchase food according to the standard set by Purchasing Manager.
  • Review and purchase non-food products request from all departments.
  • Review specification of all food products are correctly to chef requirement by cooperation with chefs, receiving and Hygiene Officer (if any) by daily basis.
  • Review all requirements through purchase list for food product from chef requirement before approval to be PO.
  • Cooperation with Receiving by co-checking all food products delivery by daily basis.
  • Review for all of food certificate and update by yearly and maintain filing system.
  • Update all of food specification data and filing.
  • Co-operation with suppliers to do lab testing for all high-risk food.
  • Pass the information of new food products from new suppliers to Hygiene Officer (if any) and Executive Chef to review and approval before placing order.
  • Put the best price and update quotation in MC system.
  • Generate all approved PR & PO for all food products and non-food products.
  • Pass all PO to all suppliers on daily basis.
  • Do the variance price of the items in each PO by the correct price and obtain the proper reason for Director of Finance and General Manager approval.
  • Monitor all PO with suppliers and follow up to delivery as per delivery time frame.
  • Clearing of pending PR & PO in the MC system every month for Market List and 3 months for Non-Market List items.
  • Train all MC system users.
  • Support storekeeper conducting inventory counting during month-end.
  • Create new code request to Cost Controller for food and non-food items.
  • Create new vendor request and amendment for vendor information to finance.
  • GENERAL
  • Contributes to the morale and team spirit of the hotel by maintaining effective relationships with colleagues
  • Performs additional duties as directed by supervisors
  • Makes appropriate suggestions and recommendations to supervisors for the general improvement of the hotel
  • Is fully conversant with al health and safety, fire and emergency procedures
  • Maintains a high standard of personal hygiene, dress, uniform, and body language.
  • Is polite and professional in any situation where the image or reputation of the hotel is represented
  • Attends meetings and training as required by supervisors
  • Ensures that all activities are carried out honestly, ethically and within the parameters local law.

  • Knowledge of local language, and any additional languages
  • Detailed knowledge of computer systems
  • Well organized.
  • Proven track record in hotel of similar standard in similar capacity.
