Duties
Administrative Tasks:
Implement and uphold administrative procedures in compliance with AZAHAR’s policies, including handling staff work permits, visa applications, and travel arrangements.
Maintain accurate documentation through an efficient filing system, update MoL workbooks for staff, and provide monthly reports on staff movements to MoL and NSSF system updates.
Collaborate with Finance for office maintenance, fixed asset management, procurement, and inventory control.
Manage office/studio inventory and equipment purchases, ensuring timely updates, labeling, and proper recording.
Oversee cheque approvals, fund disbursements, safe-box replenishment, and cash counts.
Document financial transactions and maintain both hard and soft copies of vouchers, invoices, and supporting documents, including petty cash and filing systems.
Develop, implement, and enhance office policies, supervise asset systems, procure office supplies, manage administrative assets, and maintain meeting minute files.
Human Resource Responsibilities:
Support staff training through onboarding and continuous training initiatives.
Monitor staff attendance, leaves, timesheets, and provide necessary support
Facilitate staff recruitment processes, assist in HR policy development, and maintain management meeting minutes.
Collaborate with the Country Director for employment contracts, appraisals, and contract renewals.
Maintain documentation of staff profiles, contracts, memos, policies, and legal documents in soft and hard copy.
Manage databases, regularly back up Admin and HR data, store information in AZAHAR’s storage devices, and orient new recruits on staff policies.
Process employment cards, file contracts, handle staff recruitment, maintain HR documentation, and ensure policy procedure compliance, including employee file management and leave records.
Requirements
Bachelor’s degree in management or related HR/administrative fields.
2-3 years of Human Resources and Admin experience.
Proficiency in Microsoft Office, Email & Internet
Understanding of and experience working with Cambodia labor law (MLVT).
Strong written and verbal communication skills in English and Khmer.
Deadline-oriented with a proactive approach to urgent requests.
Cross-cultural communication skills and problem-solving abilities.
Language Requirement: Proficiency in English and Khmer is essential.
