SOS Children’s Villages Cambodia is the national chapter of SOS Children Villages. Founded in 1949, SOS Children’s Villages is the world’s largest non-governmental organization focused on supporting children and young people without parental care or at risk of losing it. Child neglect, abuse and abandonment is everywhere. Families are at risk of separation. Locally led, we work in 137 countries and territories to strengthen families who are under pressure so they can stay together. When this is not in a child or young person’s best interests, we provide quality care according to their unique needs. Together with partners, donors, communities, children, young people and families, we enable children to grow up with the bonds they need to develop and become their strongest selves. JOB SUMMARY

A sponsorship secretary is a member of a project staff. The overall responsibility such as develop relationship with sponsorship head office, preparation and update of children’s information data, correspondent with sponsor and maintain the confidential requirement.

Duties
  • Compose correspondent, reports, forms and other document independently or from transcript machine, note or general instruction from village director.
  • Proof read material and correct grammar, spelling or work usage, receives and screen callers with clear information and directs them to appropriate party of disposition.Interpret sponsorship policy on routine, administrative matters and explain procedure to others.
  • Make appointments, coordinates meeting and schedule meeting rooms for supervisor and staff. Using an on-line calendar system: arrange hotel and airline reservation and local travel plan for supervisor and staff.
  • Compile budget data from accountant records, prepare claims, maintain records, establish filing system for mail and control confidential employee or departmental files, schedules facility and office equipment maintenance.
  • Assisting village director in the production of monthly, quarterly and annual reports
  • Collecting weekly and monthly report for the meeting and taking minutes.
  • Sending monthly, trimester, semester and yearly activities report to the National Office and to Social Affairs Department
  • Translate project document as and interpretation when required
  • Perform all such other duties entrusted to her by the Village Director for the care of children and mothers in the village.
  • Sponsorship relations and registration of the children in the sponsorship program.
  • Preparing mid-year and annual report with attractive child’s photos or postcard for sponsors.
  • Look after sponsors/ visitors in taking them to visit family house and showing them around the village and others SOS Projects and sending address of visitors to the national office every month.
  • Keep proper record of child/village sponsors and children money gift for all children
  • Contributing in the development and support to SOS mothers' work plan
  • Participation in project meetings as and when required.
  • Liaison with local NGO or other government agencies when required from the village director
Requirements
  • University Degree in Business Administration or related field
  • Cambodian National age above 25, who is committed to the SOS Children's Village Values
  • Proficiency in communication of English writing and speaking
  • Computer literacy in MS Word, Excel, Power point, Windows operating system
  • Good knowledge of administrative issues
  • Ability to work independently, under pressure, and good results of quality
  • Demonstrated high level of ethical commitments and trustworthiness.
  • At least 01 years of relevant work experience with NGO.
  • Good interpersonal skills, Good teamwork.
