Job Purpose

Job Purpose

The Human Resources Coordinator provides operational and administrative support to the Human Resources Director and HR function for all AYLA and Partner School Campuses.

The role ensures smooth execution of HR processes, accurate documentation, effective coordination of recruitment and staff services, and compliance with labor and education regulations, contributing to a professional and well-organized working environment.

The HR Coordinator is expected to uphold AYLA’s values, demonstrate professionalism, respect, maintain strict confidentiality, and commitment to supporting staff, teachers, and students through effective HR services and ensure fair and ethical HR practices across the AYLA network.

Duties & Responsibilities:
  • HR Administration & Operations
  • Maintain accurate and up-to-date employee records and tracking, personnel files, and HR databases
  • Prepare HR documents including employment contracts and extension, appointment letters, confirmations, transfers, warnings, and termination letters
  • Manage staff attendance, leave records, timesheet, and probation tracking
  • Support payroll preparation by coordinating employee data, attendance, and changes
  • Support the HRD with staff annual and mid-year and end year evaluations
  • Support the HRD to ensure performance improvement plans are in place when needed.
  • Crisis management
  • Support the HRD with crisis prevention plan
  • Control and manage resources.
  • Built a system to manage resources (physical).
  • Recruitment & Onboarding Support
  • Coordinate the recruitment activities including JD/KPI preparing, job postings, interview scheduling, and candidate communication for all AYLA and Partner School campuses
  • Assist with onboarding and orientation for new hires, ensuring completion of documentation and induction programs with proper record under each staff HR personal file
  • Coordinate pre-employment due diligence checks and required documentation for staff and teachers.
  • Employee Services & Coordination
  • Act as a first point of contact for HR-related inquiries from staff
  • Support employee relations activities and escalate issues to the HR Director when required
  • Assist in organizing staff engagement activities, meetings, and internal communications.
  • HR Compliance & Documentation
  • Ensure HR records comply with the Cambodia Labor Law, Ministry of Education requirements, and internal HR handbook, Code of Conduct, Child Safeguarding and protection policies etc
  • Support HR audits, inspections, and reporting requirements
  • Assist HR Director in updating HR policies, procedures, and staff handbook.
  • Training & Development Coordination
  • Coordinate training sessions, workshops, and professional development programs
  • Track training attendance, completion, and evaluation records
  • Support logistics for internal and external training activities.
  • HR Reporting & Data Management
  • Support the HRD with the HR figure for regular HR reports (Recruitment & selection, CEFR Test Preparation, Ongoing Progress Project, Planning, headcount, turnover, leave, recruitment status)
