Position Summary

SUMMARY OF THE POSITION

The HR Assistant will support the HRO in the provision of a high quality, efficient HR service for the school. This is a role to provide effective support across the HR function with particular focus on recruitment, employee record and other HR administration.

Prerequisites (Qualification)

  • The minimum qualification to become a human resource assistant is typically a bachelor’s degree in human resource, and may also possess undergraduate degrees in areas such as in finance and business administration.

Campus Facilities Manager

Position Summary

Campus: Chbar Ampov (CA)

Prerequisites

  • The C.F.M. typically has educational background in Business Administration and ideally experience in a leading position in the administrative department of an international school. High proficiency in Khmer and English language as well as very good organization and communication skills are imperative.

Relationships

  • The C.F.M. shall maintain a strong and constructive relationship with the Board of Directors, the School Administrator, S.A.M., the principals and the accounting manager. His/Her respectful, supportive and friendly interaction with all staff, students and parents is as crucial as his leadership skills towards maintenance staff and his/her professional communication with external support organizations. The C.F.M. reports directly to the School Administrator. He/She is supported by maintenance officers.

Purpose

  • With support from his/her team the C.F.M. must make sure that school is a safe and clean environment for all students, as well as a comfortable and safe workplace for teachers and staff. He/She is responsible for the security and maintenance of the whole school site and to ensure the school complies with all current legislation relating to site safety and management. He/She promotes and participates in achieving the most efficient and economic use of the school premises, facilities, plant, equipment and materials.

  • Main Activities:
  • Site Maintenance
  • Responsible for maintaining the site in a good state of repair and appearance including all buildings and facilities, roads and pathways, grounds and gardens.
  • Undertake emergency and planned maintenance and repairs within capability
  • Respond effectively and maintain a log of such works.
  • Maintain all equipment, tools and plant in a safe and good condition;
  • liaising with external suppliers and services where necessary.
  • Safety and Security
  • Maintain the school grounds to a high standard including all lawns and beds;
  • Ensure grounds are litter free.
  • Where required, liaise with external contractors to maintain cost-effective schedules.
  • Work with the Accounting Manager in the preparation of maintenance and
  • capital expenditure project / work plans;
  • Liaise with contractors and be their main point of contact.
  • Manage all contractors on site, ensuring that all health and safety requirements are met, monitor their performance and inspect completed work.
  • Undertake routine inspections of the site including daily maintenance checks.
  • Maintain computerised record of all regular checks undertaken.
  • Responsible for cooling and lighting systems throughout the premises;
  • Arrange to remedy any problems and to participate in cost saving projects.
  • Undertake and document a termly risk assessment of the whole site and other risk assessments / health and safety checks as directed by the Health & Safety Officer.
  • Attend regular meetings including a weekly site review with the School Administrator
  • Be aware of the location of essential services including water isolation valves, fire points, drainage systems and power supplies. Maintain a detailed plan showing the location of these.
  • Regularly inspect all drains and gullies for blockages remedying as necessary.
  • Regularly visually inspect outside areas for defects and potential hazards including condition of boundaries, fencing, building exteriors and trees.
  • Ensure that all security systems are regularly maintained and tested, appropriate records kept and all related policies and procedures are reviewed and updated as necessary.
  • Liaise with the security provider and ensure duties and services are provided as agreed upon.
  • Set high expectations to the security provider.
  • Ensure the effective use CCTV around the campus and in the buildings.
  • Ensure the buildings are locked and unlocked at appropriate times (including daily opening and closing); setting and disarming of alarm systems.
  • Portering
  • As a primary key holder be prepared to attend out of normal working hours as and when required.
  • Monitor traffic on site and parking including adherence to school rules.
  • Regularly assess and review traffic & parking policy to ensure optimal safety.

  • Maintain the Fire Risk Assessment, updating where appropriate and resolving any issues.
  • Provide safe access to buildings and classrooms in the event of floods and similar emergency situations.
  • Initiate the necessary procedures quickly and accurately relating to the emergency services, e.g Police, Firefighters, and Electricity providers.
  • The premises are cleaned as required and the site is secure. Some evening and weekend cover will be required in connection with school events.
  • Ensure the school complies with all current legislation in relation to site safety and facilities management; including the maintenance of appropriate records.
  • Lead the continuing development of robust, transparent health and safety systems and procedures.
  • Support health and safety training initiatives and deliver components where appropriate.
  • Commit to the growth and maintenance of a positive risk management culture within the school;
  • Actively participate in the School Operations and Administration meetings.
  • Provide a portering and furniture moving service to ensure supplies are in place and school activities can proceed as expected.
  • Transfer goods and materials delivered to the school to appropriate locations around the school site;

  • Regularly set out and clear away furniture, equipment and other items when
  • required in connection with assemblies, parents’ evenings, special events, dining
  • hall and so on.
  • Supervise and assist with the erection and dismantling of temporary structures such as the school marquee / booth / tents as required.
  • Participate in and ensure that the site is kept clean, tidy and attractive in order to minimise risks to the health and safety of those using the school site and to ensure the activities of the school can take place in an environment conducive to learning.
  • Liaise with and monitor the pest control provider
  • Main point of contact for cleaning contractors including owners and operatives.
  • Ensure high standards are maintained, operatives efficiently employed and value for money achieved.
  • Manage refuse and recycling procedures and ensure relevant staff are aware. At least half-termly clean all bins to keep hygienic and deter pests and rodents.
  • Keep all outside areas clean and tidy, e.g. litter clearance, leaf and tree debris clearance, refuse bin compounds.
  • Carry out emergency cleaning as required.
  • Monitor supplies of cleaning materials, personal hygiene products, drinking water and sun protection items
  • Contribute to the school’s objectives of achieving greater value for money in the maintenance and day to day running of the buildings and site;
  • Promote and manage the temporary lease of the school’s facilities within the local community.

Student Support Services Assistant

The Student Support Services Assistant reports functionally to the Student Support Services Coordinator and School-level Coordinators and hierarchically to the School-level Principals.

Expectations - Duties, Responsibilities
  • Emails to students, staff and team members within CIA FIRST learning community.
  • Manage facilitation of Student Support Services requests to the Principals for approval
  • Parent communication regarding Student Support Services concerns.
  • Meetings with parents regarding Student Support Services concerns, translating as needed.
  • Going to classrooms to call/meet students, staff and team members.
  • Translating all documents and confirming translations with Khmer Curriuculum officers.
  • Support distribution of progress reports and data analysis of MAP results.
  • Listening to concerns of all visitors who come to the Student Support Office and recording them correctly onto the record sheet.

  • Providing SSS-related data to the Principals, SSS Coordinators, Category heads and the FoL Self-study Coordinator.
  • Monitoring the input of student achievement data into the Student Information System for SSS students.
  • Attending SAP 1 meeting to understand the overall student support agenda.
  • Updating transcripts for student meetings with the Career and Guidance Counselor.
  • Printing and providing academic records to the Student Support Services team as requested.
  • Coordinate with the academic team to ensure representation of the Student Support Services team at Parent Student Teacher Conferences and school events.

Requirements - Skills, Qualifications, Experience
  • A Bachelor’s degree in Education or Bachelor’s degree with a Post-graduate Teaching Certificate. Preferably a Master’s Degree in Education.
  • Strong command of the English and Khmer Language.
  • Additional languages such as Chinese and Korean and preferred.
  • Recent criminal police record check certificate.

Khmer Academic Assistant

Position Summary

Campus : Chbar Ampov (CA)

Reports to: Academic Head

Responsible for: Provide assistance to the Academic Head by performing a variety of administrative, secretarial and clerical activities.

Prerequisites

  • The K/ES Khmer Elective Academic Assistant typically has an educational background in Education or any related field and experience in administrative tasks and duties. Native speaker level of English language and very good MS Office skills are imperative.

Relationships

  • The Assistant support of the Academic Head and Khmer K-ES team only. All tasks taken over by the Assistant need to be approved by the Academic Head. However, the Assistant has to contribute actively to a constructive and collaborative relationship with all academic staff and in particular with the school level coordinators. The Assistant reports directly to the Academic Head and receives support by interns employed in the academic office.

Administration

  • The Assistant is responsible for maintaining a well organized and efficient administrative system within the Khmer Faculty. Filing and archiving documents, writing any kind of internal and external correspondence or documents, as well as assisting the Academic Head in all clerical work are main aspects of his/her daily administrative tasks and duties.

Prerequisites

  • The Co-teacher typically has a background in Education or any related field. Has good English communication skills both written and verbal. Ideally, they will have previous experience of working with young students and a genuine interest in supporting students to succeed.

Relationships

  • The Co-teacher acts as a support to the Teacher and Students in the classroom. They report directly to the Homeroom Teacher and receive support, guidance, and training from the homeroom teacher and subject coordinators.

  • Collaboratively work as a team with the homeroom teachers to ensure the teaching quality. Attend planning time when necessary.
