ChildFund Sport for Development - Finance and Compliance Manager (1 Position)

Position Summary

Department : ChildFund Sport for Development Team

Location : South-East Asia with working rights in nominated country

Employment : Full-time to June 2022 (possibility of extension)

Reports to : Sport for Development Director

Other Information : Some travel possible (pending COVID restrictions) 

KEY DUTIES

As the ChildFund Sport for Development (S4D) Finance and Compliance Manager you will: i) provide financial management leadership; ii) ensure a range of compliance requirements are met and; iii) support key national and regional partners to build their financial and compliance systems.  You will contribute to the S4D Team’s leadership team.  

Expectations - Duties, Responsibilities
  • Financial Management
  • Lead daily accounting, reporting and financial management across a portfolio of programs and countries;
  • Support budgeting, forecasting, accounting, reporting, donor project reviews and project audits;
  • Maintain financial records in the accounting system and Salesforce;
  • Develop procedures and internal controls and ensure that these are appropriately applied across all countries;
  • Support grant application processes and generate donor reports;
  • Build effective relationships with Finance Managers in relevant ChildFund offices.
  • Compliance
  • Work across countries to ensure contracting and purchasing is executed in-line with relevant policy and laws;
  • Ensure that risk management processes are in place and regularly monitored;
  • Ensure the organisation’s human resource processes are followed;
  • Ensure internal and external financial reporting fully complies with organisational policies and guidelines, statutory standards, sector and donor requirements, and supports effective systems development.
  • Partner Support
  • Manage the dispersal and acquittal of all partner funds;
  • Provide structured institutional strengthening services to improve partner finance, risk management and compliance practices;
  • Undertake financial spot checks, internal audit services, due diligence processes and internal/external audit follow-up;
  • Support strong and effective partnerships; 
  • Support organisational learning linked to different operating modalities.
Requirements - Skills, Qualifications, Experience
  • QUALIFICATIONS AND EXPERIENCE
  • Professional accounting qualification with a minimum of 5 years relevant experience;
  • Advanced MS Excel skills and knowledge of accounting systems, ideally Sage Intacct; 
  • Experience in financial reporting, modelling and analysis;
  • Multi-country budget management experience including working with diverse revenue sources and requirements;
  • Grant management experience; 
  • Effective knowledge/skills transfer and institutional strengthening skills;
  • Fluent in written and verbal English with additional languages an advantage.

KEY DUTIES

As the ChildFund Sport for Development (S4D) Communications and Content Manager, you will: i) build ChildFund Sport for Development’s brand and profile; ii) lead strategic engagement and messaging and; iii) manage key stakeholders effectively.  You will contribute to the S4D Leadership Team.

  • Ensure ChildFund Sport for Development has a strong and consistent external and internal voice;
  • Utilise innovative and engaging ways to create impact with the public; 
  • Leverage partners and Ambassadors to support key messages and profile;
  • Ensure branding consistency across all activities and relationships;
  • Maximise the use of digital channels support brand and profile.
  • Lead Strategic Engagement
  • Build and execute a coherent and impactful overarching communications strategy;
  • Create and execute impactful campaigns and event-based communications strategies;
  • Ensure that all communications are ethical, informative, authentic and aligned with strategy;
  • Ensure communications strategy development supports broader organisational strategic commitments;
  • Lead the development of content to support strategy execution in a range of markets;
  • Ensure digital channels are fully leveraged to support strategy.
  • Manage Stakeholders
  • Lead engagement with public engagement functions in the Sydney Office and Country Offices;
  • Build sector relevant networks with peers;
  • Lead engagement with communications functions in partner sports organisations; 
  • Create stakeholder networks that amplify impact;
  • Lead the team’s outward facing communications with key donors and partners;
  • Build and leverage a network of writers, designers, printers and media contacts globally.
Requirements - Skills, Qualifications, Experience
  • QUALIFICATIONS AND EXPERIENCE
  • Relevant graduate qualification;
  • At least 8 years relevant experience, including at least 3 in a senior role;
  • Track record of developing impactful content for on and offline public communications platforms;
  • Experience of public relations management and developing organisational spokespeople;
  • Track record of written communications engaging with a range of audiences;
  • Clear and demonstrated commitment to the realisation of children’s rights;
  • Native proficiency in written and spoken English with additional relevant languages an advantage.

KEY DUTIES

As the ChildFund Sport for Development (S4D) Programs Administrator you will support global operations to: i) meet internal and external reporting requirements; ii) maintain knowledge management platforms and; iii) provide program administration support.  

Reporting

  • Coordinate across countries, including with partners, to ensure the timely provision of project reporting information;
  • Consolidate and edit reporting to meet internal reporting requirements;
  • Support the writing of donor reports;
  • Maintain and monitor a global reporting schedule for all Sport for Development reporting commitments;
  • Ensure all reports are reviewed and approved in-line with internal processes;
  • Enter reporting into organisational online reporting systems.

  • Knowledge Management
  • Ensure user-friendly access to the all Sport for Development project documentation; 
  • Ensure project cycle management, program and organisational policy standards are documented with any gaps identified;
  • Support the Sport for Development Team’s documentation of compliance evidence across all programming;
  • Provide standardisation of frequent use documents and tools.
  • Program Administration Support
  • Maintain project management platforms with accurate and up to date information;
  • Support onboarding of new staff/consultants to project management platforms and provide support to the team on standard use of project management platforms;
  • Assist with proposal and ad-hoc report writing;
  • Edit key program documents in English;
  • Provide project management services for discrete projects such as events.
Requirements - Skills, Qualifications, Experience
  • QUALIFICATIONS AND EXPERIENCE
  • Relevant university qualification or equivalent experience;
  • At least 2 years relevant work experience;
  • International donor reporting experience;
  • Online reporting systems experience, with Salesforce experience an advantage;
  • Demonstrated commitment to and understanding of children’s rights and participation in practice;
  • Fluent in written and verbal English with additional, relevant languages an advantage.

KEY DUTIES

As the ChildFund Sport for Development - Asia Program Coordinator, you will i) enable high-quality program delivery through a range of partners; ii) ensure timely and accurate communication and coordination between country-level Partnership Coordinators and partners; iii) provide management and HR support across multiple countries and ; iv) support learning and representation.

Expectations - Duties, Responsibilities
  • Program Delivery
  • Ensure program protocols are implemented and evidenced;
  • Ensure appropriate technical resources are coordinated, available and outputs documented;
  • Ensure learning, reporting and risk management processes are followed systematically across all countries;
  • Ensure donor commitments are communicated and completed in a timely fashion;
  • Support business development opportunities that enable ChildFund to increase impact in the sector.
  • Communication and Coordination
  • Coordinate country teams and partners (currently in Cambodia, Laos, Philippines and Thailand) to ensure consistency of practice; 
  • Support the Sport for Development team through Partnership Coordinators to maintain strong and consistent communication with partners;
  • Ensure coordinated, timely and accurate information is provided to country leads and partners;
  • Ensure communication and coordination platforms are regularly maintained;
  • Maintain detailed records of process and decisions and be accountable to those decisions;
  • Ensure alignment across project management and process functions;
  • Ensure strong, ongoing communication between technical areas and country-level Partnership Coordinators.
  • Management Support
  • Ensure regular reporting check-ins are effective and documented;
  • Ensure compliance with management processes across multiple country and partner systems;
  • Support Partnership Coordinator professional development in-line with organisational processes; 
  • Ensure all partnership coordinators are supported in-line with relevant organisational policies.
  • Representation and Learning
  • Ensure appropriate representation, utilising ChildFund Sport for Development expertise, with National Sports Federations, Local Organising Committees, Governments and Managing Contractors to build organisational sector credibility;
  • Ensure national partners are authentically positioned in representation opportunities as the implementor, with ChildFund positioned as the enabler;
  • Support organisational learning linked to different operating modalities;
  • Share lessons learned across the Sport for Development Team and take on lessons learned from across the organisation to  support improvements in programming practice.
Requirements - Skills, Qualifications, Experience
  • QUALIFICATIONS AND EXPERIENCE
  • Relevant university qualification with at least 10 years of relevant experience;
  • Strong project management skills including budgets and risk management processes;
  • Proven experience in delivering high-quality Sport for Development programming ideally in ASEAN countries;
  • Successful team management experience;
  • Track record of transformative national and regional partnerships and creating an environment that enables national partners to grow and achieve their full potential;
  • Grant management experience;
  • Fluent in written and verbal English with additional relevant languages an advantage.
