Supply Assistant
Reporting Line: Supply Manager
- Key Responsibilities:
- Compliance with the Company Standards/Procedure/Strategy/Roadmap and HSSE standards for Supply, Depots & Warehouse.
- Perform registration of goods and service purchase in SAP and coordinate with requestor to ensure smooth process including PR, PO, MIGO and MIRO
- Support preparation for closing month report and all required monthly data
- Assist sorting and archiving all documents such as month end reconciliation, shipment document, procedure, permit, certificate and other approved document.
- Assist preparation Permit, Licenses, Certificates, Contract, Agreement etc., related to supply including submit document to government’s official and communication on new government’s regulation/law
- Assist recording and analyse MOPS, premium, market structure, selling price and fuel market risk
- Assist supply team to manage partner’s sale volume and pricing such as SWAP, BCP and Bulk
- Assist supply team for prepare working file, optimize working process and ensure cost efficiency
- Assist supply team for regular meeting and record the minute
- Other tasks assigned by line manager
- Context and Environment
- Working with crossed functionality (such as lubricants warehouse, depots, transport, customer service, finance, business, etc.)
- External interaction with suppliers, contractor, broker, and government’s agency: MOC, MME…etc.
- Fuel price is volatile, thus, supply is key factor of price and market risk exposure
- Working with stock reports and cost of product which error could result in huge financial impact
- Working with optimization of product cost which is the main business of the company
- Corruption is rife at all layers of society, bringing further difficulties for an ethically sound Company such as TotalEnergies
- Accountabilities
- Ensure traceability of supply documents.
- Ensure legality of import product and government regulation.
- Ensure accuracy of reporting document.
- Optimisation for cost of goods sold and limit exposure of market risk.
- Bachelor, or equivalent degree in Engineering/management/procurement.
- At least 1 years’ experience in supply chain, procurement and logistic process
- Good command in English
- Good at Microsoft office, logistic arrangement, understanding on supply chain and procurement process.
- Good at communication skill and experience working with multiple stakeholder such as supplier, clearance broker, custom, government authority, logistic team and sale team
