Project Assistant for Sponsorship Information

PURPOSE OF THE POSITION
To assist ADP Manager in managing sponsorship service operations and data entry through Registered Child (RC) Monitoring Form, Annual Update, ID Card Scanner in ways that meet the national and partnership standards, guidelines and policies and data quality assurance.
- Process Sponsor Letters (SLs) / Child Reply Letters (CRLs) in compliance with the STEP business process requirements
- Process sponsorship business regarding Hold Management Process Introductory Letters (ILs) in compliance with the STEP business process requirements.
- Process new RC / Growth in STEP in compliance with the business process requirements
- Process Water Festival Card (WFC) and Annual Progress Report (APR) in compliance with the STEP business process requirements.
- Process queries and requests from sponsors and support office in compliance with the STEP business process requirements.
- Ensure that each child folder is updated, properly filed and stored in a secure place Input information on the RC Presence Monitoring Lists, supplementary RC monitoring form, ID card scanner, annual update, and child validation form Ensure that every RC and RC caregivers are participated in and benefited from ADP activities Assure quality in sponsorship correspondence products. Assist in Child Protection according to Child Protection Policy (CPP).
- Building capacity of CFs/TDFs to produce the quality of sponsorship correspondences and apply sponsorship business process properly; and
- Ensure that Sponsorship systems (STEP, SD, QuickSTEP) are implemented in alignment with STEP partnership standards, policies and guidelines and adequate sponsorship supplies for use at ADP.
- Assist ADP Manager in managing and carrying out sponsorship service operations in compliance with the national and partnership standards.
- Bachelor degree Information Technology/ Social Science
- At least 1 – 2 years experience in sponsorship business or in community development project
- Good understanding of sponsorship business process
- Good understanding of child protection
- Proficiency in computer—Database system management, MS Word and MS Excel
- Experience in working with children in a development context
Administrative Intern
Location: National Office, Cambodia, Phnom Penh
Contract Duration: 6 months (1 March-31 August 2024)

Position will be expected to perform and deliver high quality services to staff on admin needs in the NO
office including day-today managing office facilities, office kitchen supplies (tea, coffee, sugar etc.) and toiletries, courier service and delivery arrangement, front desk service (operator), arrange local travel for staff at National office and handling specific payment to suppliers.
- Delivery and dispatch of courier and parcels
- Coordinate phone calls with receptionist for staff
- Upkeep and maintenance of photocopy machines
- Update records, physical check, label in and initiate disposal of assets
- Kitchen and Rest Room supply management
- Visit and review office cleanliness in National Office

- Responsible for the maintenance of WVIC meeting room online booking system
- Work with staff during events in the National Office and support with decorations and related purchases needed.

- Fresh graduated bachelor's degree or at least minimum year 3-4 students
- In preparing payment/ Customer service/ arrange Travelling/ courier service other experience related to business administration, office management, facility operation (preferably large organization, school, other companies)
- Office management, asset management, logistic and vendor management
- Good command of English (speaking and writing)
- Good computer skills (Word and excel, emails, internet)
- Demonstrated excellent customer service mindset
- Effective communication skills both written and oral
