Project Coordinator

Position Circumstances

Position Summary

Schedule: Full-Time, 9:00 AM - 5:00 PM (Monday-Friday)

Role Purpose: Support the Event Manager and project team in keeping every project organized, on schedule, and well coordinated from planning through to event completion.

Please note that this job may require attending events or concerts in the evenings, on weekends, or on public holidays

Duties & Responsibilities:
  • Create and maintain master event timeline; follow up
  • Break down tasks by design, operations, vendor, city hall
  • Track deadlines daily
  • Follow up with vendors on quotes, contracts, technical details, setup schedule
  • Collect and organize documents
  • Confirm load-in / load-out times
  • Report issues to Event Manager
  • Prepare city hall documentation: manpower lists, event overview, site layout attachments
  • Track submission dates; follow up on mission letter approval with City Hall
  • Coordinate with designers, floor coordinator, operations
  • Schedule internal meetings; send meeting notes and action lists
  • Track internal deliverables and update in Asana
  • Prepare checklists, track task completion, report status to Event Manager
  • Help monitor project budget and expenses
  • Arrange meetings, site visits, rehearsals, and project briefings
  • Maintain project documents and keep files organized
  • Coordinate with internal team, vendors, freelancers, and suppliers
  • Follow up on assigned tasks and ensure deadlines are met
Expected Profile of Candidates
Qualifications:
  • Bachelor's Degree
Work History:
  • Project coordination, event coordination, marketing operations, or production support for 2 years
Skills & Knowledge:
General & Technical Skills
  • Strong organizational skills; comfortable building and maintaining timelines, checklists, and tracking spreadsheets
  • Experience with document management and file organization
  • ​ Proficiency in Google Sheets/Excel, Google Docs, PowerPoint, and ability to learn PM tools quickly
  • Event or activation experience (concert, festival, or live event)
  • Asana or similar project management tool experience
  • Experience preparing city hall documentation, permits, or regulatory submissions (Cambodia or SEA)
  • Vendor coordination or timeline tracking experience
  • Experience creating master timelines and breaking work into task categories (design, operations, vendor)
  • Familiarity with budget tracking or expense monitoring
Soft Skills
  • Excellent written and verbal communication; comfortable following up with internal and external stakeholders

Vendor and Production Coordinator

Position Summary

Schedule: Full-Time, 9:00 AM - 5:00 PM (Monday-Friday)

Role Purpose: Lead all technical and production activities to ensure every event is delivered safely, smoothly, on schedule, and within budget.

Duties & Responsibilities:
  • Handle all technical, staging, and production logistics with vendors before and during the event
  • Coordinate with production vendors (stage, sound, light, LED, power)
  • Manage load-in and load-out schedules
  • Prepare and verify technical checklists
  • Ensure vendor setup follows approved layouts and timelines
  • Coordinate technical rehearsals and sound checks
  • Monitor production execution during event day
  • Resolve technical issues on-site
  • Ensure dismantling is done safely and on time

Work History:
  • Event production, live-event logistics, or technical production support for 2 years as a minimum
Skills & Knowledge:
General & Technical Skills
  • Hands-on experience coordinating 3+ events with stage, sound, or lighting (concert, festival, corporate event, activation)
  • Strong technical knowledge of concert/live-event setup (understanding of stage design, load-in/load-out logistics, technical requirements)
  • Experience managing production vendors (stage builder, sound/light technicians, AV teams)
  • Excellent planning skills; ability to create and execute detailed production schedules
  • Ability to work 12–16 hour days during event periods
  • Concert or festival production background (vs. corporate/corporate events)
  • Experience with sound, lighting, or stage equipment operation/troubleshooting
  • Knowledge of load-in/load-out logistics and crew coordination
  • Experience managing multiple vendors simultaneously during setup and execution
  • Technical rider familiarity (artist equipment requirements, stage specifications)
  • Safety and risk management mindset during load-in and event execution
  • Experience with site diagrams, technical drawings, and layout verification

Event Design Specialist

Position Circumstances

Position Summary

Schedule: Full-Time, 9:00 AM - 5:00 PM (Monday-Friday)

Role Purpose: Create creative designs that support concerts, events, brand activations, and marketing campaigns. Ensure all visual materials are attractive, on-brand, and delivered on time.

Duties & Responsibilities:
  • Responsible for stage materials, event layout, signage/wayfinding, stage visuals, 3D renders, tickets, wristbands, and merchandise
  • Coordinate with the production team on technical specs
  • Revise designs based on feedback from the Manager
  • Prepare final artwork for printing and production
  • Support last-minute design needs during event period
  • Work closely with Event Managers and the Production team to ensure designs can be produced correctly
  • Update artwork based on client or internal feedback
  • Organize design files and maintain brand consistency
  • Support creative ideas during project planning
Expected Profile of Candidates
Qualifications:

Work History:
  • Graphic design, event design, or brand/marketing design for 2 years as a minimum
Skills & Knowledge:
General & Technical Skills
  • Proficiency in Adobe Creative Suite (Illustrator, Photoshop, InDesign)
  • Portfolio demonstrating 3+ event/live-event design projects (stage, signage, or printed materials)
  • Ability to deliver high-quality work under tight deadlines (1–2 week turnarounds)
  • Strong attention to detail; understanding of print specifications and file preparation for production
  • Live event, concert, or festival design background
  • Motion graphics or video design (Adobe After Effects, Cinema 4D)
  • Experience with 3D rendering or visualization tools (Blender, SketchUp)

Role Purpose: Manage all on-site event operations to ensure guests, staff, vendors, and performers experience a smooth, safe, and well-organized event.

Duties & Responsibilities:
  • Responsible for on-site operations and floor execution per plan
  • Plan overall production timeline
  • Manage event flow on the ground
  • Coordinate stage movements, cue timing, and transitions
  • Communicate between production, talent, and operations teams
  • Supervise ushers, volunteers, and floor staff
  • Handle on-site issues quickly and efficiently
  • Ensure safety rules are followed on the floor
  • Support crowd movement and queue management
  • Report real-time updates to Project Coordinator
  • Ensure event schedule runs on time
  • Monitor cleanliness and venue readiness
Expected Profile of Candidates
Qualifications:

Work History:
  • Event operations, venue management, or production logistics (concert, festival, activation, or large-scale corporate event) for 2 years as a minimum
Skills & Knowledge:
General & Technical Skills
  • Hands-on experience managing on-site event flow (guest experience, staff coordination, crowd management, stage/talent transitions)
  • Excellent organizational skills; comfortable using checklists, timelines, and real-time communication tools
  • Physical stamina for 10–14 hour event days (standing, walking site, managing multiple areas)
  • Proficiency in Google Sheets/Docs and walkie-talkie communication protocols
  • Concert, festival, or live-music event background
  • Experience supervising 10+ staff, volunteers, or freelancers on event day
  • Knowledge of crowd safety, queue management, and emergency response basics
  • Stage/talent coordination experience (cue timing, artist transitions, run-of-show

  • ​ Experience managing venue setup and breakdown logistics
  • First aid/CPR certification (not required; training can be arranged)
  • Familiarity with Asana or event-day communication tools
