Accounting And Administration Officer
REPORTS TO Operations and Finance Manager
HOURS 8am – 5pm Monday to Fridays, with a one hour lunch break.
PURPOSE
The role of the Accounting and Administration Officer is to support the Operation and Finance Manager and the Leadership Team with day-to-day accounting and administrative functions at Free To Shine. The Accounting and Administration Officer plays a key role in ensuring administrative and accounting tasks are completed on time, recording accounting transactions properly and helping the organisation run smoothly.
REMUNERATION AND CONDITIONS
- Unspecified duration contract
- USD $300 per month before tax
- All public holidays as specified by the government
- 18 days paid Annual Leave
- 7 days Special Leave (which includes sick leave) (pro-rata for part time)
- Local health and accident insurance

- Accounting
- Record petty cash book and prepare weekly and monthly cash counts, and reconcile it.
- Tracking and recording all expenditure, including advances and settlements.
- Timely payment of rent and utilities.
- Timely purchase of office supplies.
- Purchase employee uniforms.
- Stock control and monthly count and report.
- Posting petty cash records into in Quickbooks
- Assist OFM with preparing monthly tax e-filling and other accounting documents.
- Make recommendations to the Leadership Team for example; expenditure for motor maintenance or office repairs.
- Administration
- All administrative tasks to help with program, operations and fundraising.
- Assist leadership team with the completion of ACFID tasks (Australian Council for International Development)
- Record, monitor, process, and reporting on employee leave.
- Assist with incoming and outgoing correspondence such as letters, reports and office phone calls.
- Assist with procurement and stock control of girls’ program supplies and office supplies (including drinking water, cleaning supplies and repairs).
- Assist with basic translation of written documents from English to Khmer, or Khmer to English
- Assist to manage health and vehicle insurances.
- Assist Operations and Finance Manager with asset management.
- Keep an up-to-date contact list (Ministries, service providers, vendors, landlord).
- Prepare the Local Authority reports.
- Record distance traveled by motorbikes.
- Visa support for international staff.
- Assist with filling, scanning and printing documents.
- Other administrative duties as directed.
- QUALIFICATIONS AND EXPERIENCE
- 3 years’ work experience in administration, finance or bookkeeping required.
- Bachelor degree highly desirable, preference given to Bachelor degree in Finance, Accounting or equivalent
- REQUIRED SKILLS & QUALITIES
- Professional, honest and reliable.
- Computer skills in QuickBooks, Excel, Microsoft Office.
- Highly organised and excellent time management.
- Good attention to detail.
- A positive attitude.
- Fluent in English desirable
- Understanding of the NGO sector would be an advantage.
